Automations that move the work between your tools.

When something happens, the next steps happen too: across the tools you already use, on a schedule, through portals with no API, and into the documents your business sends.

Part 04 of a custom AI system

The problem

The work is not the hard part. The hand-offs are: copying a booking into the calendar, the CRM and the invoice tool, chasing a quote nobody answered, filling the same supplier portal every week. Each step is small, and each one gets forgotten.

The parts

What automations can be made of.

A system uses the parts the work needs, not all of them. Each one is built on the tools you already use where it can be.

01

Workflows

When X happens, do Y and Z, then wait. One trigger runs every step that follows it, in order.

  • A new booking sends the confirmation, the reminder and the calendar invite
  • A paid invoice starts the job
  • A form becomes a task with an owner
  • n8n
  • Make
  • Zapier
  • Code with a queue
02

Follow-up sequences

Timed messages that stop the moment the person replies or books.

  • Quote follow-ups
  • Onboarding steps
  • Win-back after a quiet year
  • Your email or SMS platform
  • A scheduler
03

Schedules and checks

Work on a clock: syncs, reports and checks that everything is still running.

  • A nightly sync between two tools
  • A weekly statement to each client
  • “Is everything still running?” every hour
  • Cron
  • Scheduled tasks
  • Queues
04

APIs and webhooks

Joins the tools you already use, so data moves itself and one tool tells another the moment something changes.

  • Your CRM, calendar and accounting in step
  • A reply that stops a sequence
  • A payment that updates the job
  • Native APIs
  • Webhooks
  • MCP servers
  • Stripe
05

Browser robots

Drives a tool that has no API the way a person would, and logs every step it takes.

  • Old supplier portals
  • Government forms
  • Platforms on a plan without API access
  • Playwright
  • A real browser where sites block automation
06

Documents

Fills quotes, statements, reports and pages from your data, and reads the documents that come back in.

  • A quote from a call
  • A monthly report per client
  • Invoices read into accounting
  • Templates
  • HTML to PDF
  • Document AI

The tools named are common choices, not a requirement. We work with what you have.

In other businesses

What it can look like.

Three illustrations from different kinds of business, to show the idea.

Illustration

A wedding venue

A signed booking creates the event, sends the deposit invoice, starts the planning emails and puts the tasks on the team’s list, without anyone copying a date twice.

Illustration

An HVAC company

Every quote that is not answered gets a follow-up after two days and a call reminder for the office after five. A reply stops both.

Illustration

A distributor

Each Monday a robot logs into a supplier portal with no API, downloads the price list, updates the catalogue and sends a short note of what changed.

How it connects

Automations are how agents act: an agent decides, an automation carries it through your tools. Every step reads the brain and stops where control says a person decides.

Guardrails

  • Every automation has an owner, a log and a switch that stops it.
  • Bulk sends and anything that moves money wait for approval.
  • A failed step raises an alert instead of failing quietly.
  • Robots log every click, so a run can be checked afterwards.

Questions

What people ask about automations

Usually not. Automations sit on the tools you already pay for. Where nothing fits, we build a small piece of your own.

A browser robot can use it the way a person does, and every step it takes is logged. We tell you on the call when that is the right choice and when it is fragile.

Simple steps are fine to set up yourself, and we will say so. We build the ones that need judgement, the brain or a person’s approval, and we run and fix them every month.

The step stops, the system raises an alert and nothing is half-sent. Fixing it is part of the monthly run and improve plan.
